1. Data controller

2. What data we process, why and on what basis
- Quote / contact form: name, company, e-mail, phone, country, the service requested and the operation details you enter (cargo, quantities, dates, vessel, origin or destination) and your message. We use them to answer your request, prepare a quotation and send you a confirmation e-mail. Legal basis: steps taken at your request before entering into a contract (Art. 6(1)(b) GDPR) and our legitimate interest in answering business enquiries (Art. 6(1)(f)).
- Technical data when the form is sent: IP address and browser type, to protect against abuse and automated messages. Legal basis: legitimate interest (Art. 6(1)(f)).
- E-mail or phone correspondence you start directly: the data you give us, so we can reply.
We do not use the data for marketing, do no profiling and take no automated decisions with legal effects on you.
3. How long we keep data
Requests sent through the form are deleted automatically from the website database 24 months after they are received. If a request leads to a contract, the related documents are kept for the period required by accounting law.
4. Who receives the data
Only the ROTRAC staff handling your request, and the providers of website hosting and e-mail under data processing agreements. We do not sell data or transfer it outside the European Economic Area.
5. Your rights
You have the right of access, rectification, erasure, restriction of processing, portability and objection to processing based on legitimate interest. To exercise them, write to office@rotrac.ro or by post to the address above. We reply within one month.
You may also complain to the Romanian data protection authority (ANSPDCP), www.dataprotection.ro.
6. Security
The website uses an encrypted connection (HTTPS), protection against automated submissions and restricted database access.
